Phone production in detail

Clear to hear.
Ready to use.

From a short greeting to a voice portal: explore the full application and production details here.

Greetings, opening hours and absence messages

Phone messages are played automatically by a phone system, voicemail or answering machine. Fixed information, such as outside-hours messages, and regularly changing announcements have different update needs.

Typical content includes greetings before connection, opening or holiday hours, alternative contacts, product information and an invitation to leave a message after the tone. We adapt the text to your use.

On-hold messages, music and acoustic backgrounds

Waiting and transfer can be accompanied by spoken information, music or both. Tone, information density and length should fit the context and expected waiting time.

We clarify music selection and required usage rights before production. Existing music, suitable licensed tracks or a custom composition can be used according to the brief.

IVR: voice menus and interactive dialogues

Interactive Voice Response describes computer-controlled voice dialogue systems. Depending on the system, callers choose menu options by keypad or speech to receive information or be transferred.

We produce professional recordings for new and existing systems. Multilingual menus, repeated prompts and individual extensions can be prepared as coordinated segments.

Service, information and other applications

Applications range from hotlines, helpdesks and contact centres to automated ordering and time, weather, traffic, timetable or market information. Telephone banking, reservations, ticket sales, voting and competitions also use voice menus.

Content follows your service: instructions, callback information, customer numbers and product details need clear prompts and explanations. The technical functionality of your system determines the flow.

Dialogue design and access to a person

Callers want to reach the right information or person quickly. Menu options, terms and repetitions should therefore be easy to understand and appropriate for the audience.

Complex or emotionally difficult issues may need a personal contact. Before launch, work with your system provider to check speech and keypad input, routing and abandonment scenarios; test calls help identify weaknesses.

Voice, languages and pronunciation

We use professional voice artists for studio recordings. Friendly, serious or humorous delivery follows the brand, audience and purpose of the message.

Native-language versions and consistent pronunciation also help international phone systems. We agree language, voice character, names and specialist terms. zappmedia.io explains alternative software-assisted production methods.

Recording, audio format and individual segments

Professional studio equipment is used for recording. Editing, mixing and mastering prepare the audio for the agreed purpose. Phone systems may require different audio specifications from video or music productions.

Provide requirements for format, codec, sample rate, channel count and file naming. We agree output for your target system and deliver the files online. You then check integration and operation in your phone system.

Business service and later updates

Your contact coordinates text, translation, talent, direction and sound production. The fixed-price quote specifies the agreed scope and required resources.

Approved scripts, segment names and pronunciation notes are a useful basis for updates. Mention recurring changes in the initial brief.
